How can I manage user access and permissions effectively in 8am?

Overview

Managing user access and permissions within your organization is critical to safeguarding data and ensuring users have the appropriate level of access to cases. By following the steps below, account administrators can effectively manage viewing and assignment settings for users and ensure that access is appropriately restricted as per firm requirements.

Steps to Adjust User Permissions for Viewing Cases

To remove a user from being automatically assigned to all firm cases but still allow them to view all cases, follow these steps:

  1. Navigate to Settings > Firm Users in the application.

  2. Locate the user in the list and click the pencil icon in the permissions column next to their name.

  3. Adjust the permissions as follows:

  • Set the case access level to "View Only".

  • Ensure that the setting "Access data from every case in the system" is checked for "All firm cases".

By setting these permissions, the user will have visibility of all firm cases but will not be assigned to any cases automatically. This is an effective way to manage viewing access while avoiding unnecessary assignment responsibilities for the user.

Restricting Access for Attorneys to Assigned Cases

Attorneys’ access can be limited to only the cases to which they are assigned. To implement this:

  1. Navigate to Settings > Firm Users in the application.

  2. Locate the user in the list and click the pencil icon in the permissions column next to their name.

  3. Ensure that the permission "User Allowed Access All Cases" is NOT enabled.

    This will prevent attorneys from accessing cases across the firm unless explicitly authorized.

Limitations: Support Team's Role in User Access

It is important to note that support cannot modify worker assignments or user permissions on your firm's behalf. These responsibilities rest solely with the firm’s administrator(s). If changes are required, the administrator must follow the steps above to make the necessary adjustments.
