Overview

MyCase eSignature makes preparing and signing routine case and intake documents simple and seamless.

  • You can request signatures from multiple clients and countersignatures, collect information with text fields, and insert merge fields to populate documents automatically.

  • Your firm can easily prepare and send the document to a Lead (potential client) or active client, and firm members can sign without leaving MyCase to find an email for the document.

  • Clients can sign and return in fewer clicks, and the signed document is available to all parties and accessible in MyCase automatically.

  • You can also monitor the status of all your signature requests on the eSignature Dashboard on the Documents tab.


How it Works

Following along in MyCase is recommended as you read the steps:

  1. Upload and prepare your PDF or Word document

    • Add your document to any case or potential case (under the specific case's documents tab).

    • Click the pen icon to add signer(s).

    • Then, place the signature and other fields on your document for both clients and countersigned.

  2. Request signatures easily and securely

    • Include a custom message and send your signature request to your client(s) from MyCase.

  3. Your client(s) can review & sign

    • Your client(s) will receive an email with a link to review and electronically sign the agreement from their computer or mobile device.

    • Any countersigned will receive an email requesting their signature once all clients have signed.

  4. We'll email you the signed agreement and save it right to MyCase

    • We'll notify you when the document is signed and send all signers an email with the completed document attached. The document will be immediately saved to MyCase.


How to create an eSignature document

MyCase’s eSignature feature has been designed to accept eSignatures for your Leads (potential clients) and active cases. To request an eSignature:

  • Enter the potential client in the system as a Lead or navigate to the case needing a signature. To learn more about adding Leads, click here.

  • Once the lead or client has been added to the system or you have navigated to the case for which you would like to request a signature, you can request an eSignature on any contract, retainer agreement, power of attorney, etc. The document must be in PDF or Word format and uploaded to the Lead/ Case.

To upload a document to a Lead or case:

  1. Navigate to the Lead or Case to which you would like to upload the document.

  2. Select the Documents subtab within the Case Details page, and then either drag and drop your document to upload or choose the Add button and select Document.

  3. Once the document is uploaded, click the pen icon to add signature(s).

  4. Select Who Needs to Sign?

  5. Add Who needs to sign or Add another signer.

  6. Select the toggle to choose if This document needs a counter/signature so a firm member can add their signature as the final step. MyCase sends the completed document to all parties. You can also Require drawn signatures for all signers.

  7. Click Prepare document for signing.

  8. Five field options are available: Signature, Initials, Date, Merge Field, or Text Field.

    1. Text Fields allow you to streamline data collection by including open text fields with customizable labels on your eSignature documents. You can assign these text fields to a signer or yourself so that you can populate the information before sending the signature request.

    2. Merge Fields allow you to automatically populate documents with data that is already stored in MyCase. You can insert both standard and custom fields that are associated to the case or any contact linked to the case. The contact does not have to be a signer of the document. You can also further automate the signature process with merge fields in eSignature Templates.

  9. Select the desired type, navigate to the location in the document where you would like to place the field, and click. This will put a field (signature, initials, date, or text field) in that location. Make sure to assign the signature, initials, date, or text field to the correct signer with the dropdown on the right. Enter as many signature, initial, or date fields as necessary.

  10. After all necessary fields have been entered, choose Save and Continue.


How to send an eSignature request directly from MyCase

  1. After adding signature fields to the document, you will return to the initial popup screen where you can confirm the signer’s name, email address and custom message.

  2. After reviewing all fields, click Send.

Here is what your clients will receive when you request an eSignature.
Note: The document version can no longer be changed once a signature request is sent.


How to monitor request status & review a signed document

  1. After sending an eSignature request, you can monitor the request status within the Documents tab.

  2. Statuses are: Unsent, Pending Signature, and Signed.

  3. After your client signs the document, you can view the document with your client's signature.

  4. All firm members linked to the case will receive an email notification when it is signed.


How to Void or Resend a Signature Request

Signature requests can be voided or re-sent from the Document tab in a Lead or the Case Details page.

To void a signature request:

  1. Click the pen icon for any signature document that has already been sent.

  2. Click the Void Request button. This will invalidate all pending signature request links already emailed so that additional signatures cannot be collected. It will also add a VOID watermark to the signed document stored in MyCase.

  3. To resend a signature request, click the Resend to Unsigned button. This will send another email requesting a signature from all pending signers.


eSignature Reminders

Automated eSignature reminders allow you to spend less time chasing down signatures while getting documents signed faster. You can send a reminder by email or text message. You also have the option to choose the cadence, in days or weeks. Note: Reminder messages are not customizable.

To set up automated reminders:

  1. Click on the bell icon next to the eSignature Document.

  2. Click Add a reminder.

  3. Select how you want the reminder sent, either by email or text.

  4. Set up the reminder schedule. You can select either day or week.

  5. Click Set Reminders.

The reminders will be delivered as scheduled after the signature request is sent.


Sign Documents without Leaving MyCase

Firm members who have a MyCase license can also sign a document directly within MyCase, which saves time when countersigning or when only one firm member, such as an attorney, needs to sign. There’s no need to wait for or search for the email in your inbox.


To sign a document yourself when you are the only signer:

  1. Click the pen icon to add your signature.

  2. Select I'm the only signer.

  3. Add your Signature and/or other field types as needed.

  4. Click Finish.

  5. A copy will be emailed to you.

You can also countersign documents ready for your signature directly from the eSignature Documents Dashboard. Filter the list of signature documents with the status Pending my Signature.

  1. You can click Countersign Now to sign without having to leave MyCase.


eSignature Troubleshooting

In some instances, an error may be shown when preparing a PDF for eSignature. This could occur in:

  1. A password protected PDF.

  2. A malformatted PDF.

  3. A PDF with older versions.

If you encounter the error, you can try one of the following:

  1. Open the PDF in a web browser, print it, and select Save as PDF.

  2. Open the PDF in a web browser by right-clicking and selecting open with Chrome or another web browser of your choice. You can also drag the file into your browser.

  3. Print the file by selecting File > Print.

  4. Select Save as PDF.

  5. Upload this new PDF to MyCase and request a signature.
