There are multiple ways to write a check for a firm expense in MyCase Accounting, depending on whether you've already entered a bill and how you'd like the expense tracked. This article walks through each option.
Option 1: Write a Check from Your Operating Account for a Firm Expense Without Entering a Bill
Before you start: this method is for firm expenses paid from your operating account only and not client costs or trust transactions, and not expenses you've already entered as a bill.
Get to the Checks Screen
From anywhere in your account, hover over Accounting in the left side navigation bar to open the drop-down menu.
Steps
1. Open Banking — From the Accounting drop-down menu, select Banking.
2. Go to Checks — On the Banking screen, click the Checks tab.
3. Start a new check — Click Write Check to open a new check entry.
4. Fill out the check — Enter the check details — payee, date, amount, memo, and
the operating account it should be drawn from.
5. Save and print — Click Save, then print the check as you normally would.
That's it — the check is recorded against your operating account without ever needing a bill on file.
Good to Know
● This process does not create a bill or vendor record — it's meant for quick,
one-off firm expenses.
● If you need to track the expense against a vendor over time, enter a bill instead
and pay it from there.
● Never write client cost or trust account checks using this method — use the
appropriate trust accounting workflow instead.
Option 2: Enter and Pay a Firm Bill by Writing a Check
Already have a firm bill on file — or want to log the expense before paying it? Use this method to pay an existing bill with a check.
From anywhere in your account, hover over Accounting in the left side navigation bar to open the drop-down menu.
Steps
1. Open Bills & Expenses — From the Accounting drop-down menu, select Bills &
Expenses.
2. Find the bill — Locate the firm bill you'd like to pay in the list.
3. Go to the payment action — In the Actions column for that bill, select the dollar-
sign icon.
4. Choose Pay by Check — Check the box next to Pay by Check.
5. Fill out the check — Enter the check details — payee, date, amount, memo, and
the account it should be drawn from.
6. Save and print — Click Save, then print the check as you normally would.
Please note: if the expense hasn't been created yet, you'll need to add it as a firm expense before you can pay it this way. See Enter and Manage Firm Expenses in MyCase Accounting for step-by-step instructions.
