Online Payment Settlement Times & Payment Disputes

This article will detail the settlement times for both Credit Card and eCheck transactions.

Credit Card Settlement Timing: Credit Card transactions will be deposited into your account in 2-3 business days. This is based off the transaction date which includes a 7pm PST cutoff each day. (Not including weekends or holidays). The processing fee will be debited from your operating account the day after the funds were deposited into your account. Fees always debit from operating, regardless if client funds are deposited into trust or operating accounts.

Disputes: Credit card payments can be disputed by the cardholder in the form of a chargeback. A consumer may initiate a chargeback by contacting their issuing bank and filing a substantiated complaint regarding one or more debit items on their statement. For most disputes the time frame is 120 days (U.S.) and 180 days (International) from the transaction date of the original sale or the date of discovery of the issue (i.e. defective merchandise). However, in some instances the time frame may be longer or shorter depending on the specific reason code. Once initiated, funds are pulled immediately and attorneys are notified.

eCheck/ACH Processing

The standard eCheck processing time is 2 business days. For example, if you receive an eCheck payment before the settlement cutoff time on Tuesday, you will see this deposited on Thursday. The cutoff time is 6:00 PM CT, and is also the deadline for voiding any eCheck transactions.

We also offer a delayed eCheck processing time of 7 business days. This settlement time ensures that client funds only deposit after it has cleared the clients account. Please contact our support team to inquire about this option.

Banking holidays will affect processing time.

Refunds

You should always wait until after the 5-7 business days have concluded before refunding an ACH/eCheck transaction.

Voiding eCheck Payments

You have until 6:00 PM CT the day a payment is made to cancel an echeck payment. There is not a Void button, but if you issue a full refund that will Void the payment.

eCheck Returns

If an eCheck transaction cannot be completed, it will be returned. This usually happens on the 4th or 5th business day after the original transaction date, but an eCheck can be returned up to 60 days from the original authorization date. When this occurs, the transaction status will change to failed and a notification will be sent to the merchant. For merchants on the standard processing timeline, that means you could see a deposit for client funds then a debit of those same funds a few days later.

Disputes: eCheck payments can be disputed by the account holder in the form of de-authorization. A consumer may initiate an eCheck return by contacting their bank and filing a de-authorization form. eCheck returns on transactions within 60 days are not defendable.
