How Do I Bulk Unassign a User From All Firm Cases?

At this time there is no self-service button to bulk un-assign a user from every case at once — here's how to request it.

Overview

If a staff member or attorney has left your firm, changed roles, or was linked to cases by mistake, you may need to remove them from every case at once instead of un-assigning them one case at a time.

There is currently no self-service button in MyCase to bulk un-assign a user from all cases. This is the reverse of the Link to All Active Cases feature (Settings > Firm Users > [user] > Cases), which lets you bulk-add a user to every active case but does not offer a matching bulk-remove option.


Requesting a Bulk Un-assignment From Support

Because there's no in-app button for this, our support team can run a bulk un-assignment on your firm's behalf as a backend action. To request this:

  1. Your admin user can start a chat, or email with MyCase Support (in-app chat or [email protected]).

  2. Provide the full name and email of the user to be unassigned.

  3. Let us know the scope — for example, all active/open cases only, or all cases including closed ones.

Fin, our AI assistant, will offer to connect you with a live agent — accept the handoff so a member of our team can complete the un-assignment. Most requests are completed within a few minutes once picked up by an agent, though after-hours requests may not be handled until the next business day.

If need be, run a case list report before wiping the user's profile — it preserves a record of the cases they were linked to.


Un-assigning From Individual Cases

If you only need to remove a user from a handful of cases rather than all of them, this can be done per case without contacting support — open each case, navigate to its "Contact's and Staff" tab, and click the "X" next to the desired user's name.


A Note on Permissions

When adding a new user to your system, you can choose between case sharing permissions "All firm cases" vs "Only Linked Cases". If on the latter permission, that user will only be able to see cases that they are linked to. Linkage to a case is not necessary for a user to see it if they have the ability to view all.

Support cannot change a firm's user permissions or default assignment settings — only a firm administrator can do that. Support can perform the one-time bulk un-assignment described above, but ongoing access and assignment rules are managed by your firm's admin(s) under Settings > Firm Users.
