Overview
In the MyCase Immigration Add-On, sharing your Smart Forms with your clients is quick, easy, and secure.
You can invite your clients to Smart Forms by email/text message invitation or a shareable link.
You can also set permissions, so invitees only see the tabs of the Smart Form Questionnaire that you want them to see (except our Green Card Smart Form) and include customized messages.
Additionally, you can track the status of invitations to see if they have been accepted, started, and sent back to you for review.
Sending an Invitation
You can invite your clients to Smart Forms by:
Email invitation
Text message invitation
A shareable link
If you share via email or text message invitation, your client will receive a link to access their questionnaire. If the invitation is sent by email, the email will appear to come from your email address and will reply to your email address.
After you send an invitation, your client will be granted secure access to complete their Smart Form Questionnaire.
Invite Contact
To send from the Forms Tab:
Navigate to the Forms tab from the Immigration Add-On in the Case Details page for your client.
Click the Send Invites hyperlink.
Click the INVITE A CONTACT button.
Select the Contact and/or
Add who you want to invite from the drop-down.
Indicate How you would like the invitation to be sent.
Select the Language in which you want your client to receive the questionnaire.
If you wish to customize the message in the invitation, check the box for Customize Invitation and Access and enter your customized message.
If you wish to limit the tabs the invitee sees, uncheck the section you do not want them to access.
Click the Send Invite or Generate Invite Link button.
From within a Smart Form Via the Invite Tab
To invite a contact that is included in the smart form, you will need to follow these steps:
Navigate to the Invite tab within the Smart Form.
Click the Invite Contact button.
Select the Contact and/or
Add Who you want to invite from the drop-down.
Indicate how you would like the invitation to be sent.
Select the language in which you want your client to receive the questionnaire.
If you wish to customize the message in the invitation, check the box for Customize Invitation and Access and enter your customized message.
If you wish to limit the tabs the invitee sees, Uncheck the section you do not want them to access.
Click the Send Invite or Generate Invite Link button.
Via More Actions
To send an invitation from within the Smart Form, follow these steps:
Open up the Smart Form for which you would like to invite your client and go to the Intake page.
Click the More Actions button in the top-right portion of the page.
Select the Share Intake option.
Choose the Contact to invite.
Select Who you want to invite if other than the original contact.
Indicate How you would like the invitation to be sent.
Select the Language in which you want your client to receive the questionnaire.
If you wish to limit which tabs are seen, check the Customize Invitation and Access box and indicate which tabs to show/hide.
If you wish to customize the message in the invitation, check the box for Customize Invitation and Access and enter your customized message.
Click the Send Invite or Generate Invite Link button.
Selecting the Intake Language
When sending an invitation, you can easily select the language in which the questionnaire will be displayed for your client.
Currently, questionnaires can be translated into the following languages:
English
Spanish - En Español
Portuguese - Em Português
French - En Français
Hindi - हिंदी में
Russian - По русски
Chinese (Mandarin) - 用中文 表达
Korean - 한국어로
Turkish - Türkçe olarak
Haitian Creole - An kreyòl ayisyen
Arabic - بالعربية
Vietnamese - TIẾNG VIỆT
Notes:
Invitees may still change the language of their questionnaire after the invitation has been sent. Click here to learn more.
Translating the questionnaire language via the more actions option from within the Smart Form will not affect the language of the invitation.
Tracking Invitations
You can keep track of your invitations from the Invites column on the Forms subtab or within a smart form under the Invite tab.
Click on the value under the Invites column to view the invitations sent for a specific form.
To view the invitations sent for a specific form from within a smart form, simply select the Invite tab.
Here, you will be able to see:
The Contact that was invited.
The email/mobile number of the contact invited.
The status of the invitation.
How it was Delivered.
When it was Last Sent
Click the number under Invite History to see additional information.
You also have the option here to resend an invitation, copy a previously sent invitation link, or Revoke access to the invitation.
The different statuses include:
Sent: The invitation has been sent to your client.
Accepted: Your client has clicked on the invitation and accessed your form.
Returned for Review: Your client has completed the form and submitted it to you for review.
Revoking Invitations
Invitations sent to clients can be revoked from the Forms tab.
If you select Revoke under Actions, you can no longer access the intake through that specific invitation.
