Overview
MyCase makes it easy for you to create invoices for contacts whom you need to bill for a consultation, or other clients who need a task done that isn’t associated with a case or matter.
Creating an Invoice Without a Case
Navigate to Invoices, then click the Create Invoice button.
On the Create a New Invoice page, select the From Scratch toggle.
This will allow you bill by Flat Fee only.
You can bill an existing contact or create a new one by clicking Add Person.
If the contact you've selected has cases linked to them, their cases will be available to choose as well as an option for 'None'.
If the contact is linked to one case, then that case will be the default option.
If the contact you've selected does not have any cases linked to them, 'None' will be the only option.
To make sure the invoice is created and not linked to a case, select 'None' under the 'Matter' section.
Again, when an invoice is being created and not linked to a case, the invoice will default to have a flat fee line item only.
Add your notes and the amount of the flat fee.
You can also add more flat fees if necessary.
Time entries and expenses will not be an option unless the invoice is linked to a case.
After the invoice is saved, it can be shared via the client portal or emailed directly to the client's email. Separately, a link to a payment page can be copied and sent via text or email if you have Online Payments enabled.
The invoice can be found in the Invoices section under the Contact details. It can also be viewed in the main Invoicing section under the Billing tab.
⚡ Need to collect payment even faster? Try Quick Charge
If you are accepting a payment on the spot and do not need to generate a formal draft invoice or assign it to an existing case shell, you can use Quick Charge instead.
While Quick Invoicing Without a Case creates a standalone invoice document for an existing contact, Quick Charge allows you to key in a payment immediately.
If the person paying is a brand-new prospect, MyCase will automatically create a basic contact profile for them in the background using the payment details—completely bypassing the invoicing pipeline.
